Applying visual media and communication skills to human resources

The past three months I have been learning more about the importance of communication skills in the world of human resources. I have spent numerous hours each week writing reports, creating presentations, communicating with employees, and organizing files. Each project I took on while helping in the human resources department stretched my skills and allowed me to apply myself in different ways. By the end, I felt as though I achieved a balanced application of my skills.

Purpose and Objectives

The purpose of my experience was to apply my knowledge from visual media, interpersonal communication, and organizational principles to human resources. Those working in human resources have many responsibilities. Examples include communicating with employees, ensuring all company practices are lawful, and keeping all information organized and filed accordingly. Because of the expansive nature of this work, I knew there would be numerous opportunities to apply my knowledge in a new realm. My overall objective was to become confident and comfortable working in human resources while also providing valuable skills to the company.

The Project

While working in the human resources department, I had a variety of experiences. I created a statistical analysis report, a powerpoint presentation for a management meeting, an electronic version of the existing employee handbook, and various instruction documents for employees. Because of the nature of the work, much of my work cannot be shared or discussed, but all examples of work allowed to shared is seen below with some private information removed.

The largest portion of my project was simply working alongside the human resources department. For three months, I was able to complete projects, sit in on meetings, and work alongside other professionals. While I cannot provide a visual representation of that experience, it ultimately helped me reach the objectives of this project. I became comfortable with the company’s processes while also being able to provide value through my own skills and expertise.

The biggest challenge of the project was not knowing what each task would be. Because I had no prior experience in human resources, all upcoming tasks were unknown and foreign to me. Despite my inexperience, I was committed to putting in the time and research to provide the best end product. Each time I was asked to create something, talk to employees, or organize files, I would ask questions to build an understanding of what was needed. This understanding aided me in accomplishing my work to the best of my abilities. Although I was continually removed from my comfort zone, I was able to grow and learn throughout the process while applying my own skills and expertise.

Another challenge 0f this project was providing ample time to complete each task. Because I had a limited time each week to work with the human resources department, staying focused and on-task was essential. Each time I began working on a new task, I would write things down and create a game plan. Organization was absolutely essential to my success, and it was through this habit of organization that I was able to complete each task successfully while being a full-time student with two jobs.

The process for my individual tasks varied, but I always went through general steps for each one. The very first step was to listen. I would carefully listen and write down what was being asked of me. This ensures clear direction and helps me to create an action plan. The second step was to ask questions. Before I begin my work, I want to clearly understand what is needed and clear up any confusion. Numerous mistakes can be avoided if questions are simply stated in the beginning. The third step is to research and prepare. Before immediately jumping into the final presentation or work, I want to make sure I have all the tools needed. Fourth, I bring in all the elements I can to make a cohesive and attractive end product. After finishing the project, the next step is to review. My hope is to catch any mistakes before it’s in the hands of another. The professionalism of my work is more clear when it is clean and free of mistakes. The last step is to ask how my work could be improved and check for questions. I want to make sure I have provided what is needed and that it is clearly understood. The biggest overall process I use is continual communication. I attempt to communicate clearly from beginning to end to make sure all involved are satisfied with the end result.

Overall, I was able to accomplish both of my objectives and my purpose. Not only did I become confident and comfortable working in human resources, I was also able to provide value to the company. By taking my knowledge and applying it, I further developed my skills while adding new skills for future work. One example of a skill that was improved was my understanding of organizational principles. This understanding was deepened during the unique opportunity to personally analyze problems within the organization, and even though I grew a lot during my experience, the process wasn’t easy

When I first began, I was nervous as I traveled into an unknown world, but after this project, I now feel more comfortable being uncomfortable. Instead of shying away from the unknown, I embrace it as a learning opportunity and an opportunity for improvement.

Insights and Takeaways

One important takeaway is to always pursue growth. The skills I came in with acted as a great foundation, but what I left with was much better. In each company, the expectations and processes are different, so it’s important to grow with the company and seek constant improvement. This is extremely relevant to human resources because they often adapt to unexpected changes and roadblocks; they must drop what they are doing to handle a more important situation if necessary. While working on my project, I learned to be more adaptable, overcome roadblocks, and prioritize important projects. It is important to work hard and focus, but it is also important to be adaptable and flexible.

Because of my experience, I was offered a full-time position with the company I coordinated this project with. Overall, the lesson is to have a purpose and run with it. The goal is to try to get the most out of every experience. By doing these things, I was able to turn a project into an opportunity for a future career. I’m extremely grateful for my experience in human resources and look forward to the experiences and projects to come.

Writing out employee instructions

These past two weeks I have been compiling instructions for new employees to help them in obtaining their state license. In pharmacy, most technicians need to pass a national exam and also obtain a state license. My goal was to make instructions that would ease the process of applying for a state license.

Using bullet points, contrast, and multiple headings

By using bulleted lists, multiple headings, and contrast I was able to make a document that is easy to read and straight-forward. Going through the licensing process can be stressful and difficult to understand, but by seeing a simple list of all the requirements makes it much simpler.

What I Learned

I learned how important presentation is. The company I work for mentioned numerous applicants get held up during the licensing process, and some end up never completing the process. While there is information on each state licensing website, many people do not seek out this information or they struggle understanding even with the website. By creating a document outlining all the steps for each state the company hires technicians in, I was able to use my skills to make the hiring process smoother.

Putting together an employee handbook

These past two weeks I had the opportunity to put together the employee handbook for a professional organization. The goal of this week was to transfer the current handbook into an online system and consolidate it with resources already in the electronic system.

The process and challenges

I accomplished this task by taking the present handbook and hand-typing it into the new electronic system. The electronic system had suggestions and mandatory items that had to be included by law. It was a challenge to take the suggestions, mandatory material, and the current handbook and type it into something coherent and useful.

Lessons Learned

The biggest takeaway that I learned from putting together an employee handbook is organization. Without proper organization, it would be difficult for employees to find the answers they need. By using different heading levels and creating a detailed index, I was able to create a product that can be a resource to all the employees within the company.

Conclusion

Asma Zaineb states, “An employee handbook is an excellent resource that presents all the information which employees need to know about their work and workplace. Thus, it facilitates the smooth functioning of a workplace.”

Through my experience creating an electronic employee handbook, I truly was able to feel what Zaineb is referencing. A well-made handbook makes a company function more efficiently and prevents numerous problems.

Creating a professional analysis in HR

These past two weeks I’ve been able to focus my efforts on writing up an analysis for the human resource department I am interning for. The analysis compared a survey employees took both in 2020 and 2021. The purpose of my analysis was to analyze what could have caused the changes from one year to the next.

Running Tests

The first thing I decided to do was to put some of the data in my statistical software to determine the correlation between the two years.

I found that all the changes from 2020 to 2021 were actually almost perfectly proportionate meaning the change for each of the questions wasn’t particularly significant. It is likely that the larger participant pool caused us to receive a more accurate reading for employees thoughts.

Presentation

Writing a long analysis about two surveys may become uninteresting to the audience, so I decided to add in some graphics and tables to refer to throughout the analysis. These graphics helped break up long paragraphs of text and help the readers visualize what I was referring to.

Because of the private nature of the information I was presenting, I am unable to show examples of most of the graphics I used, however, I do show an example of the basic layout of my title page below.

What I Learned

The most interesting that that I learned besides the importance of presenting the information in a professional format was that things aren’t always as they same.

When I first looked at the information that they gave me to compare, I made many assumptions for what could have caused the change based on my knowledge of the organization, but when I took a step back and found a more objective way to view things, I was able to take an approach that was more accurate for the presentation.

Communication AT WORK

It was a really fun challenge to write an analysis for a professional organization. While I do have a little background in statistics, without the knowledge of how to write professionally and create a product that looks visually pleasing, I don’t think my analysis would have had as much efficacy in communicating the information. Because of my analysis, I was able to aid the organization in making decisions for the upcoming year.

Visual media in HR

Visual media and communication skills are extremely important in the human resource industry. The way things are presented make the difference in difficult situations. Part of the job of people in human resources is training the team in an effective way.

While working with the human resource department, so far I’ve been able to help write an analysis, file important documents, and create a presentation for training. My focus today will be how my visual presentation helped communicate a message more effectively.

For the beginning of the presentation, I decided to pick a more western style that fits with the company mission statement. By making a presentation with a clean theme, it shows that effort was put into the appearance and the content of the slide show.

Above is an example slide. I kept the formatting consistent and used visuals to make the information more appealing. I made sure to limit the text on the slides so there would be more focus on the words being shared along with the presentation.

The design remains clean and consistent throughout the duration of the presentation. Meaningful text is included on the slides to emphasize their importance.

Overall, the experience working in HR has shown me how important visual media and communication are in a professional setting. I look forward to using my skills to learn and apply even more.
